For a UK ecommerce team, the useful question is not simply whether bank transfer can be enabled. It is whether an unpaid order can remain visible, receive the right follow-up and avoid accidental dispatch while someone verifies settlement.

Understand the payment model

Shopify supports manual payment methods, including bank transfers. Its manual payment guidance explains that these orders remain unpaid or pending until the merchant receives the payment and marks the order as paid. Enabling the method does not create an automatic connection to your bank account.

Manual bank transfer is also different from manually capturing a card authorisation. With a card authorisation, the payment provider has a separate transaction state and capture process. With a manual transfer, your team must establish that the correct money has reached the intended account. A customer’s screenshot or an email saying “paid” is useful correspondence, but it is not your reconciliation record.

Choose this route for an identified customer need. If most customers can already use an appropriate supported online method, adding another checkout choice may add confusion. Review your existing payment gateway strategy before treating bank transfer as a universal conversion improvement.

Write instructions customers can act on

Use the payment settings to distinguish the short checkout explanation from the instructions shown after ordering. Shopify provides separate fields for these purposes. Explain that dispatch follows payment verification, state which order reference the customer should use, and give an honest expectation for when your team checks incoming transfers. Verify the banking details through your normal internal process before publication.

Do not promise instant dispatch because a customer’s banking app says a transfer is complete. Your own review hours, order cut-off and warehouse process still apply. If the finance team checks transfers only on working days, communicate that operational fact. Keep the wording consistent with the delivery promise elsewhere on the site, especially before UK bank holidays or weekend promotions.

Give reconciliation an owner

Build a daily queue that separates orders waiting for payment, transfers waiting for identification, and orders cleared for the next operational step. Record the Shopify order, amount received, currency, bank reference, verification time and staff member responsible. Keep sensitive bank records within the appropriate finance system rather than copying full statements into shared order notes.

The queue needs cover when its usual owner is absent. An order can otherwise remain unpaid in Shopify even after the money has arrived. Equally, a colleague may mark it paid based on an informal chat message. Define which evidence is sufficient and which role can make that change. A simple documented process is more useful than a complex dashboard nobody maintains.

Review every system that receives new orders: Shopify fulfilment settings, a warehouse connector, an ERP export and any custom automation. Do not assume that a pending payment status automatically stops every downstream integration. Ask the responsible provider how unpaid orders are handled, then verify that behaviour with a controlled test.

For some operations, the warehouse may receive the order early but hold it until an approved release event. Others may export only paid orders. Either design can be workable when the meaning of each state is explicit. The critical failure is an integration treating “order created” as “ready to dispatch” while finance believes it is still on hold.

Inventory needs a separate decision. Define how long stock is held for an unpaid order and what happens when that period expires. Do not silently change the promise after the customer has placed the order. Handle exceptions without guesswork

A short payment should enter an exception queue, not be rounded into “paid” for convenience. An overpayment also needs a controlled resolution. If money arrives after an order has been cancelled, stop and reconcile the current order state before taking another action. Stock might already have been released, a replacement order might exist or the customer might expect a refund. Avoid recreating fulfilment automatically. Likewise, refunding a manual transfer requires its own operational check. Updating an order record should not be confused with the bank actually returning money. Consider a British office-supplies retailer receiving a £420 order from a small business. The buyer selects bank transfer and is given the order reference. The retailer’s warehouse connector imports new orders immediately, while finance reviews receipts the next morning. Without an explicit hold, the parcel could leave before the transfer is matched.

In this illustrative scenario, the team tests an unpaid order and discovers that the connector requires a separate release rule. It adds that rule, verifies the bank receipt and records the approval before dispatch. The example is not a reported client result. Test the full operational journey

Decide whether the option earns its place

Review completed paid orders, time spent reconciling, unpaid order ageing and customer questions together. A rise in placed orders is not automatically a rise in settled sales. Compare like-for-like periods and note seasonal or customer-mix changes before attributing an improvement to the new payment method.
