Map the ordering modes
Do not start by choosing an app. Start by identifying the modes the business must support.

The goal is not to eliminate exceptions. It is to stop exceptions becoming the default operating model.
Design the data model
Shopify B2B company accounts can organise locations and buyers, but the wider architecture still needs clear ownership.
Define:
- company and location identifiers
- buyer roles and permissions
- assigned sales representative
- catalogue and price-list eligibility
- payment terms and credit status
- tax treatment and exemption evidence
- delivery addresses and restrictions
- order history and negotiated commitments
- ERP or CRM source-of-truth rules
A rep should never need to guess whether a price is current. If Shopify, ERP and spreadsheets can all override a commercial term, the workflow is already unsafe.

The rep workspace
The useful rep view is not merely “log in as customer”. It should answer the questions needed to progress an order.
Account context
Show the company’s locations, buyer contacts, assigned catalogue, payment terms, recent orders, open quotes and known restrictions. Sensitive fields need role-based access and an audit trail.
Fast product entry
Support SKU search, barcode or reference search, previous-order duplication and saved lists. Display pack sizes, minimum quantities, lead times and stock confidence before the basket is built.
Commercial exceptions
Define whether a rep can adjust price, request approval, apply a contract discount or add a one-off service line. Every override should record who changed what and why.
Handoff to the buyer
Let the representative prepare a basket or draft order and send a secure review route. The buyer should see products, quantities, prices, delivery expectations and terms before accepting. Avoid attachments that become stale as soon as stock or pricing changes.

Test failure paths, not only the happy path: inactive account, expired quote, price changed after basket creation, partial stock, buyer removed, credit hold, delivery-location restriction and ERP timeout.
